Connect Xero in Huup

  1. Sign in to app.huup.com.
  2. Open Integrations → Accounting, click Add connection, pick Xero.
  3. Click Connect. You are sent to Xero to sign in.
  4. Choose the organisation to authorise and allow the requested access.
  5. Xero returns you to Huup and the connection is live. No keys to copy anywhere.
Nothing else to set up. While you are being returned, Huup reads your organisation country, VAT status, tax rates and chart of accounts and works out which of your own rates and accounts to use. You do not configure any of that by hand.

Check the first invoice

  1. The next order that completes in Huup posts to Xero as a sales invoice.
  2. Open it in Xero and check the line items and the tax rate look right for how you trade.
  3. If something is off, the common causes are below. Everything else runs on its own from here.

What posts after you connect

SalesSales invoices

Completed orders post as invoices with line items, quantities, unit prices, the customer and the mapped tax rate on each line.

ReturnsCredit notes

Returns post as separate credit notes dated on the return, carrying the tax treatment of the original invoice.

ContactsCustomers

Buyers are matched to an existing Xero contact or created once, so the same person across two channels stays one record.

ItemsProducts

SKUs map to Xero items with their sales and purchase accounts, so revenue and cost land in the right nominal codes.

What Huup does not do

Common issues

Every invoice shows no VAT

Your Xero organisation is not registered for VAT, so Huup posts each line with no tax rather than charging a rate you have no right to charge. Turn VAT on in Xero under Settings → Advanced → Financial settings, then click Refresh profile on the connection in Huup to read your tax rates again.

Sales to EU customers are using the wrong rate

A sale from a Great Britain organisation to an EU customer is a plain zero-rated export. The EC zero-rated codes in Xero are only for Northern Ireland (XI) sellers moving goods to the EU under the Windsor Framework. Check which one your organisation is set up as.

Zero-rated products are being taxed at the standard rate

Country defaults do not know that books, children’s clothing and most food are zero-rated in the UK. Set the tax rate on the product in Huup and it overrides the country default on every line for that SKU.

The connection stopped working after a quiet period

Xero refresh tokens last 60 days. Huup refreshes on a schedule and again before each call, so this should not happen. If it does, click Reconnect on the connection and authorise again.

Duplicate contacts in Xero

Huup matches on the customer details it holds. If a buyer used two different email addresses across channels, they arrive as two people. Merge them in Xero and Huup follows the surviving contact.
